Attendance Policy for the Circulation Department

ABSENCES

Labor students are responsible for working their contracted scheduled hours. 

Absence from assigned labor hours without prior notification by the student or permission from the supervisor shall be considered an unexcused absence.

To avoid an unexcused absence, plan ahead as much as you can. Try to switch shifts with a colleague when possible.

When that is not possible, talk to Sienna Burgess about whether or not you can just have off anyway.

These two solutions will accommodate most situations most of the time and thus your missed shift will NOT be counted as an unexcused absence.

So, to avoid unexcused absences on your record, please abide by these rules:

  1. When you need off, try to trade shifts with a co-worker when at all possible.
  2. If no one can trade with you, let Sienna know you cannot make it before your scheduled shift so that we are not caught off guard. Since we are a public service desk, someone needs to be at the desk. If it can't be you, we need enough warning to be able to assign someone else to do it.

In the event of continued absence or tardiness, you may be called in for a meeting with Sienna in order to discern the problem and find a solution to the behavior. As a general rule, 3 unexcused absences may result in labor probation or a labor release.

MAKING UP HOURS

Any hours missed from the scheduled hours, excused or unexcused, must be made up before the end of the term.  Preferably, hours missed will be made up within a pay period.  All make-up hours must be arranged and approved by Sienna.

SWITCHING SHIFTS

If you need to switch shifts with a peer for whatever reason, you must send an email to Sienna (burgesss@berea.edu) detailing the specifics of the switch and "cc" the peer who agreed to the switch. You must still send an email to Sienna even if you have spoken with her in person regarding this because there needs to be a record of the arranged swap.

 

Sickness, Running Late or Personal Emergency?

If you are sick, running late (by more than 10 minutes), or otherwise having a personal emergency requiring you to call off, it is your responsibility to notify your colleagues as soon as possible.

Here are the steps expected of you in this circumstance:

1.  Call the Circulation Desk at 859-985-3364 and let whomever answers know when you can be expected.

2. Send a direct message to your Supervisor, Sienna, and the peer you're scheduled to work with at that time.

3. IF you're calling off ask if anyone is able to come in for your shift via the Circulation Teams chat

4. Fill out the Circ Reporting Time Form

You want to make sure someone in the building should be aware of your situation so that those who are working can respond appropriately.

As long as you have made your colleagues aware of your lateness, the incident will not be held against you (unless it becomes a part of a persistent pattern of tardiness). If you do not let someone know, however, and you are more than 10 minutes late, then it will be an unexcused absence.
